The arithmetic. Average collection time (days sales outstanding) is receivables divided by average daily invoiced sales, using a 365-day year. Seasonal businesses will see it move month to month. This is an illustration, not a forecast.

The Cadence

A Default Follow-Up Rhythm, Agreed Before It Starts

Every step below is adjusted to your terms and your customers. Anything beyond the last step is your decision.

Invoice Sent

On your template, with clear terms and a way to pay you directly.

Before Due

A short reminder a few days before the due date.

Just Overdue

A polite follow-up once the invoice is past due.

Still Overdue

Direct contact, and a note to you with the account’s history.

Your Call

Payment plans, holding orders or write-offs are decided by you, never by us.

What You Get

Receivables, Kept Moving

Invoicing and Delivery

Raised on your terms, sent on time, with the details customers need to pay without asking questions.

Aging That Surfaces Problems Early

Reviewed weekly, so a slow payer is noticed at 15 days, not 90.

Structured Follow-Up

Polite, persistent and consistent, under your name or as an identified third party — your choice.

Payment Application

Customer payments matched to the right invoices, so aging reports stay accurate.

Customer Statements

Sent on a schedule, so customers see the same balance you do.

Disputes Logged

Every disputed invoice recorded with the reason, so recurring problems become visible.

Boundaries

Follow-Up, Not a Collection Agency

Customers pay you directly, into your account. We never hold client funds or take payments on your behalf.

Collections here means courteous, persistent follow-up on your behalf. We do not threaten, report customers to credit agencies, or take legal action. Discounts, payment plans and write-offs are always your decision.

Receivables and collections is priced by volume, from $300 a month, as an add-on to the monthly bookkeeping tier.

Questions

Accounts Receivable, Specifically

Will Our Customers Know It’s You?

Only if you want them to. We can work under your domain and your name, or as an identified third party. That is your call and we follow it exactly.

Do You Take Payments From Customers?

No. Customers pay you directly. We apply the payments in your books once they arrive.

Are You a Collection Agency?

No. We follow up politely and persistently on your behalf. Anything more formal — agencies, legal action — is your decision and outside our scope.

What Happens When a Customer Disputes an Invoice?

It is logged with the reason and sent to you with the account history. Follow-up on that invoice pauses until you decide how to handle it.

Which Tools Do You Use?

Invoicing and statements in QuickBooks Online or Xero, plus whichever payment links or portals you already offer customers.
